Terms and Conditions of Attendance:

The IIAV plans to take photographs and video material at an ICSV Congress and reproduce them in news or promotional material, whether in print, electronic or other media, including the IIAV and ICSV websites and social media. By participating in an ICSV, you grant the IIAV the right to use your name, photograph and biography for such purposes. All photographs and videos are the property of the IIAV and may be displayed, distributed or used by the IIAV for any purpose.

Anyone attending an ICSV must not take part in any canvassing, leafleting, demonstrations, objectionable behaviour or any activity, which may disrupt the congress.


Privacy statement:

How we will use your personal information

This privacy notice applies to anyone entering information on our websites, registering online for an ICSV congress, subscribing to our news, journal or making an enquiry or complaint to us.

This notice does not cover third party websites to which we provide links, which are covered by their own privacy notices. The IIAV is not responsible for the content and policy of third party websites. Third-party organizations operate their own policies regarding the use and sale of personal information and their use of cookies.

We are committed to collecting and using your personal information fairly and transparently, so we will make it clear if we are collecting personal information from you or intend to use it for any purpose that is not obvious.

We use the personal information that you provide to us for our internal purposes, such as responding to your requests for information, contacting you, conducting internal analyses, and processing and completing orders and event registrations.

The IIAV also reserves the right to compile, save, use within the scope of our activities, and analyse any and all data (contact and personal data, use history, etc.) that we collect from you through our websites.

We may disclose personal information to a third party, such as a law enforcement agency, if required to do so by law. These Terms and Conditions shall be governed by and interpreted in accordance with the laws of the United States of America and any dispute arising out of or in connection with these Terms and Conditions shall be subject to the jurisdiction of the USA Courts.

The IIAV will not pass your personal information to any third party for marketing purposes without your consent.


Sharing your personal information with companies, such as exhibitors and sponsors

We may share the personal information you provide to us with other companies we have hired to provide services for us. These companies – our vendors – are contractually bound to use personal information that we share with them only to perform the services we have hired them to provide.


Security

We will take care to ensure that your personal information is secure. When we do provide mailing lists to third parties or vendors we enter into agreements with such parties requiring them to comply with all applicable laws, and prohibiting further distribution or disclosure of the lists to other parties.


Transferring personal information overseas

Our websites are hosted and backed up on a server in Poland. We may transfer your personal information to countries outside the European Economic Area (where lower levels of data protection may apply) to make arrangements for any exhibition you have registered to attend, or in any other case where we have your specific consent.


Your rights :

  1. You have the right to access personal information we hold on you.

  2. You can ask us to correct any personal information we hold on you.

  3. To review the information IIAV currently holds on you, please email and request to view your contact and demographic information.


Changes to your personal information

Please let us know if any personal information you have given us changes, so we can keep our records up to date.


Visitors to our websites

We use Google Analytics to help us to improve our websites. This uses cookies to collect information about how visitors reach and use our websites, but does not identify any individuals. Other cookies are used to help you log in and use the websites most effectively. By accepting this privacy policy you are giving your consent to the use of cookies on our websites. Recording at exhibitions

Videos and photographs are taken at an ICSV congress and used to promote future events, including direct mail and email marketing, newsletters, press releases and broadcasts over the internet, through our broadcast partners, or via other broadcast services. CCTV and webcams are not used by our organisation, although our exhibition venues may use them.


Corporate transactions

If we sell or transfer the whole or part of our business we may transfer personal information to the buyer or transferee.

Liability waiver

I agree and acknowledge that I am undertaking participation in an ICSV congress and activities as my own free and intentional act and I am fully aware that possible physical injury might occur to me as a result of my participation in these events. I give this acknowledgement freely and knowingly and that I am, as a result, able to participate in IIAV events and I do hereby assume responsibility for my own wellbeing and safety.


Photographs and video material taken at ICSV congresses

The IIAV plans to take photographs and video material at an ICSV and reproduce them in news or promotional material, whether in print, electronic or other media, including the IIAV and ICSV websites and social media. By participating in an ICSV, you grant the IIAV the right to use your name, photograph and biography for such purposes. All photographs and videos are the property of the IIAV and may be displayed, distributed or used by the IIAV for any purpose.


Furthermore:

  1. I acknowledge the IIAV’s right to crop, splice, treat and edit any photographs or video material taken of me at an ICSV congress. I waive my right to inspect or approve the finished product, now and in the future, whether that use is known or unknown to me;

  2. I hereby agree to release, defend, and hold harmless the IIAV and its agents or employees, including any firm publishing and/or distributing the finished product in whole or in part, from and against any claims, damages or liability arising from or related to the use of the photographs or video material, including but not limited to any misuse, distortion, blurring, alteration, optical illusion, or in the taking, processing, reduction or production of the finished product, its publication or distribution.


Copyright notice

Companies that submit artwork or upload or link any material (including but not limited to images, text, documents and/or video files) to the website are solely responsible for the content of such material and for gaining required permissions under copyright, trademark, trade secret or other applicable law for the use of such material. (Caution: many websites purchase artwork from stock photo suppliers for the expressed website use or from hired photographers who have only supplied one-time rights.) By submitting any such material, the submitting company represents and agrees that (i) it has obtained the necessary permissions referenced above, (ii) any such material is not likely to defame and does not invade the privacy of any person, and (iii) it will defend, indemnify and hold harmless the company, its affiliates and their respective directors, employees and agents (including , without limitation, its publishing partner or any agent acting on its behalf) from and against any and all claims, damages, obligations, losses, liabilities, costs or debt, and expenses (including reasonable attorneys’ fees) resulting from the submitting company's breach of the obligations set forth in this paragraph.


Acceptance

By registering for and attending an ICSV Congress, I hearby agree that I accept the terms stated above and, indemnify and hold harmless the IIAV, its affiliates and their respective directors, employees and agents (including, without limitation, any agent acting on its behalf) from and against any and all claims, damages, obligations, losses, liabilities, costs or debt and expenses (including reasonable attorneys’ fees) resulting from attendance at ICSV Congresses.

Email disclaimer notice

Any IIAV emails (and any attachments thereto) are confidential, and may be legally privileged, and are for the intended recipient(s) only. Access, disclosure, copying, distribution or reliance on any IIAV/ICSV emails by anyone else is prohibited and may be a criminal offence. Please delete IIAV emails if obtained in error and notify the sender.
