Visa and Invitation Letter

For visa purpose, an invitation letter can be requested by logging to your delegate account after reception of the abstract acceptance.

  Extra Paper Fee: 100 USD

Registration fee gives access to the scientific program, the Welcome Reception and the Farewell drinks. If you have submitted more than 1 accepted paper, you are obliged to pay an extra fee of USD 100 per paper. You can do this during the registration process.

Registration fees are exempt and/or exclusive of VAT.

For any payment via Bank Transfer, the full amount of the registration fee must be received by the Organizers' bank, i.e., sender pays all fees - the sender must cover all transaction fees and other bank charges.

IIAV/NAG member: your membership must be current at the time of payment/registration and will be checked.

Students: please submit the certificate proof (enrollment status) in English to registration@icsv31.org.

Payment must be received by the Registration Office within the indicated period. For any bank transfer, the invoice receipt must be dated before the indicated deadline (Eg. For early registration fee to be applied, the invoice receipt must be dated prior to 31 March 2025). From 10 June 2025, only credit card are accepted.


 

Registration Cancellation Policy

Cancellation Policy

All requests for cancellations must be submitted in a written form (electronically) to registration@icsv31.org.

Delegates who cancel between 1 April 2025 and 15 May 2025 will be refunded 50% of the total of their registration fees. If paid by Bank Transfer, the administrative fees and bank charges will be deducted from the refund amount. The refund will be made after the congress.

There will be no refund for any cancellation from 16 May 2025.

In case the ICSV organisation must cancel a visit, all monies will be refunded after the conference.

ICSV31 regrets that refunds will not be given for no-shows. If a participant is unable to attend the Congress, a substitute is welcome to attend at no extra charge. Please advise the Registration office.
